This policy explains when payments made to VEBAS AI Systems Private Limited can be cancelled or refunded. We provide custom software development and related services, so refunds depend on how much work has been done. Where a signed Project Agreement contains different refund terms, those terms apply.

1. Project advances

  • If you cancel in writing before any work has started, we refund the advance in full, less any third-party costs already incurred on your behalf.
  • Once work has started, the advance is applied against work completed. Any part of the advance that exceeds the value of work completed up to the date of cancellation is refunded.

2. Milestone payments

Payments for milestones that have been delivered or approved are not refundable. If a project is cancelled partway through a milestone, we charge for the work completed in that milestone and refund the balance of any amount paid for it.

3. Maintenance and support plans

  • Monthly plans can be cancelled at any time by writing to us before the next billing date.
  • Cancellation stops future billing. Fees for a month that has already started are not refunded.

4. Non-refundable items

  • Third-party fees paid on your behalf, such as domain registrations, hosting, app store developer accounts, software licences and paid APIs.
  • Work that has been delivered and accepted, or that has been used in production.

5. Failed or duplicate payments

If you are charged twice for the same invoice, or a payment is debited but not received by us, write to us with the transaction details. Verified duplicate or failed payments are refunded in full.

6. How to request a refund

Email info@vebas.in with the subject "Refund request", your invoice number, the amount and the reason. We will review the request and respond within 7 working days.

7. Refund timelines

Approved refunds are initiated within 5 to 7 working days of approval and credited to the original payment method. The time taken for the amount to reflect in your account depends on your bank or payment provider.
